Privacy Policy
Effective 21 October 2026
Who we are
Houselight is a team communication and operations app for hospitality venues, published and operated by Horizon Ventures ("we", "us"). Your employer (the venue or group that invited you) decides who has an account and what workplace information is recorded. For that information we act on your employer's behalf. This policy covers the Houselight website and the Houselight mobile app.
What we collect
- Account details: name, email address, phone number, role, venue and profile picture.
- Onboarding details your employer asks for: which may include date of birth, home address, emergency contact, tax file number, superannuation and bank details, visa or passport details and licences.
- Work content: messages, voice notes, photos, documents and other files you send, plus reminders, tasks, close-outs and training records.
- Workplace operations: rosters, shifts, timesheets, sales, tips and reservations synced from systems your venue connects.
- Guest bookings: when a guest books a table, their name, email, phone, party size, occasion and any dietary or allergy notes they give.
- Device and usage data: push notification token, device type, operating system and app version, IP address and error logs.
The mobile app uses your microphone only when you record a voice note, and your camera or photos only when you choose to attach one. We do not collect your location.
How we use it
- Provide the service: sign-in, channels, direct messages, notifications, documents and the other features your venue uses.
- Onboard staff and keep the records your employer needs to run the venue and meet its legal obligations.
- Generate AI features (summaries, suggestions, drafts). These are produced from content you can already see and are not used to train AI models.
- Keep the service secure, fix faults and prevent misuse.
- Contact you about your account or the service.
Who we share it with
We do not sell personal information or use it for advertising. We share it only with the people in your workplace who are allowed to see it, with your employer, where the law requires, and with these service providers who process it for us:
- Supabase: database, sign-in and file storage (hosted in Sydney, Australia)
- Cloudflare: web hosting and the application server
- Anthropic: AI features such as Pulse summaries, suggestions and email drafts
- Expo and Google Firebase Cloud Messaging: mobile push notifications
- Resend: sending transactional email, including sign-in codes
- Twilio: sending SMS messages
- Google (Gmail): the AI Inbox, when a venue connects its mailbox
- Doshii: point-of-sale orders and sales, when a venue connects its POS
- Microkeeper: rosters and timesheets, when a venue connects it
Most data is stored in Australia. Some providers (for example Anthropic, Cloudflare, Expo and Google) may process data overseas, including in the United States. We use providers that protect it to a standard comparable to the Australian Privacy Principles.
How we protect it
Data is encrypted in transit and at rest. Access inside Houselight is limited by role and venue, and only authorised Houselight staff can access production systems, for support and maintenance.
How long we keep it
We keep your information while your employer uses Houselight and your account is active. When an account is deleted we remove or de-identify the personal information within 30 days; encrypted backups roll off within a further 30 days. Your employer may need to keep some employment records (such as timesheets and pay records) for the periods Australian law requires.
Your choices and rights
- Ask for a copy of the personal information we hold about you, or ask us to correct it.
- Ask us to delete your account and personal data.
- Turn off push notifications in your device settings, and microphone, camera or photo access at any time.
- Complain about how we handle your information by emailing privacy@houselight.app. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
Children
Houselight is a workplace tool and is not directed at children under 13.
